Epitome Collective Pte Ltd ("Epitome", "we", "us") is a creative production company based in Singapore. This policy explains what personal data we collect, why, and what you can ask us to do about it. It applies to our website and to the internal tools we build and operate.
What we collect
When you contact us.
If you email us, fill in a form, or book a call, we collect your name, email address, company, and anything you choose to tell us about your project. We use it to reply to you and to run the project if you become a client.
When you visit the site.
Our website is hosted on Webflow and served through Cloudflare. Standard technical information such as your IP address, browser type and the pages you visit may be logged by those providers for security and performance. We do not build advertising profiles from it.
Client project material.
When we work with you, we hold the briefs, assets, scripts and files needed to deliver the work, plus the contact details of the people involved.
Our internal tools
We build internal tools that connect to our own accounts on third-party platforms in order to organise our own creative work. These tools read our own company data only.
Specifically, our Pinterest integration reads the boards, board sections and pins on Epitome's own Pinterest account, so that visual references our team has saved can be synced into our internal creative library. It is read-only. It does not post anything, it does not access any other person's Pinterest account, boards, pins or profile, and it does not collect data about Pinterest users.
Why we are allowed to hold it
We rely on your consent when you contact us, and on the legitimate need to perform a contract when we deliver work for a client. We do not sell personal data, and we do not share it for anyone else's marketing.
Who else sees it
We use a small number of service providers to run the business, including cloud hosting, email, file storage, and project management tools. They only receive what they need to provide their service. We may also disclose information where the law requires it.
How long we keep it
Enquiries that do not become projects are kept for up to two years. Client project records are kept for as long as the working relationship lasts and then for the period our tax and accounting obligations require. Anything no longer needed is deleted.
Your rights
Under Singapore's Personal Data Protection Act you may ask us what personal data we hold about you, ask us to correct it, and withdraw consent for us to use it. Write to us at the address below and we will respond within a reasonable time. Withdrawing consent may mean we can no longer work together, and we will tell you if that is the case.
Keeping it safe
Access to client material and internal systems is limited to the people who need it. Credentials are stored in restricted locations and are not shared outside the company. No system is perfectly secure, but we take reasonable steps appropriate to the sensitivity of what we hold.
Changes
We will update this page if our practices change, and the date at the top will change with it.
